Your POS or app says you sold ₹48,500 today, but only ₹22,000 has reached the bank account. In most cases nothing is lost: different payment channels pay you at different times, and some deduct fees, GST, refunds or chargebacks before paying. The fix is to split the day's sales by channel, match each one against its own settlement report, and only then chase whatever is still unexplained.

This guide explains the usual reasons, how to trace them, and whom to contact. Rules are as of October 2026; your own agreement with your bank or payment aggregator decides the exact timing and charges.

Why the bank credit differs from the day's sales

A "sale" is recorded the moment the customer pays. A "settlement" is when that money actually lands in your current account. The gap between the two comes from a few predictable sources:

Reason What you see How to confirm
Direct bank UPI QR Credit arrives in your account almost instantly, one line per payment Bank statement with UPI reference numbers
Aggregator QR, soundbox or app Payments go to the aggregator's escrow first, then come to you as one bulk credit Aggregator's settlement report for that date
Card POS or online gateway Paid later, usually as one net credit per batch or day Acquirer or gateway settlement report
Fees and GST deducted Credit is lower than the batch total Fee line in the settlement report and monthly tax invoice
Refunds you gave Refund amounts are subtracted from the next settlement Refund report
Chargebacks or disputes A specific payment is held back or debited later Dispute or chargeback notice
Holidays and cut-off times Late-evening payments fall into the next settlement cycle Settlement report "transaction date" vs "settled date"
Payment pending or failed Customer saw a debit, but the payment never succeeded at your end Transaction status in your merchant app

What the rules say (as of October 2026)

Payment aggregators

The RBI (Regulation of Payment Aggregators) Directions, 2025, issued on 15 September 2025, govern companies that collect payments for merchants, such as online gateways and many QR and soundbox providers. Key points for a merchant:

  • Escrow: A non-bank aggregator must keep merchants' money in a separate escrow account with a scheduled commercial bank, not mixed with its own funds.
  • Settlement timeline by agreement: The directions say settlement to merchants is as per the agreement between the aggregator and the merchant, and the agreement must state the settlement timelines transparently. There is no single statutory "T+1" for every merchant, so read your agreement.
  • Disputes: Aggregators must have a dispute-resolution mechanism with refund timelines, an officer for merchant issues, and a published escalation matrix.

Merchant fees on UPI

UPI and RuPay debit card payments have been protected from merchant fees by Section 10A of the Payment and Settlement Systems Act, 2007. In 2026 the law was amended, and a government notification in September 2026 keeps UPI payments up to ₹2,000 free of charge. NPCI then announced a merchant discount rate (MDR) of 0.4%, capped at ₹300, on specified merchant UPI payments above ₹2,000, originally from 15 October 2026. On 13 October 2026 it deferred this until after Diwali, with the new date to be notified separately. Reports also mention exemptions for smaller merchants, but those details were not final at the time of writing.

So as of late October 2026, a deduction labelled "UPI MDR" on a normal UPI payment deserves a question to your provider. Card payments are different: card MDR is charged, at a rate set in your agreement, plus 18% GST on the fee.

Failed payments

If a customer's account is debited but your terminal never gets a confirmation, RBI's turnaround-time framework requires auto-reversal to the customer within T+5 days, with ₹100 per day compensation to the customer if late. That money will not reach you; ask the customer to pay again only after their reversal or a fresh successful payment.

Worked example: tracing ₹818.60

A kirana-cum-general store records these sales on 15 October (all figures illustrative):

Channel Gross sales Deductions Expected credit When
Bank's own UPI QR ₹22,000 None ₹22,000 Same day, payment by payment
Card POS (1.5% MDR assumed) ₹18,000 ₹270 MDR + ₹48.60 GST ₹17,681.40 Next working day
Aggregator soundbox QR ₹8,500 ₹500 refund to a customer ₹8,000 As per agreement
Total ₹48,500 ₹818.60 ₹47,681.40

The arithmetic: 1.5% of ₹18,000 = ₹270; GST at 18% on ₹270 = ₹48.60; ₹270 + ₹48.60 + ₹500 = ₹818.60; and ₹48,500 − ₹818.60 = ₹47,681.40.

On the evening of 15 October the bank shows only ₹22,000, which looks like a ₹26,500 "shortfall". By the end of the next working day, the card and aggregator credits arrive and the only real difference is ₹818.60, fully explained by the fee, GST and refund. If the aggregator credit had come as ₹7,200 instead of ₹8,000, the ₹800 gap would be worth chasing. Our GST calculator helps check the GST on fees.

How to reconcile a settlement mismatch, step by step

  1. Pull three reports for the same date: your sales or billing report, each provider's settlement report (bank QR, POS acquirer, aggregator), and your bank statement.
  2. Split sales by channel. Cash, bank UPI, aggregator UPI, cards, and online gateway should each have their own subtotal.
  3. Match settlement batches to bank credits. Aggregators and acquirers usually send one bulk credit; the settlement report shows which payments it contains. Our guide on how to read a bank statement explains the narration codes.
  4. Check deductions line by line: fees, GST, refunds, chargebacks, reserves or holds. Every deduction should appear in the report.
  5. Look for timing differences. Payments after the cut-off time, on Sundays or bank holidays, usually settle in the next cycle.
  6. List what is still unexplained with date, amount, reference number and payer UPI ID.
  7. Raise a ticket with the provider for each unexplained item, and keep the ticket number.

If a customer insists they paid but you cannot find it, the records that help are covered separately; for failed debits on the customer's side, see UPI payment failed but money debited.

Where to complain if money is really missing

Step Where When
1 Provider's merchant support (bank branch, acquirer or aggregator dashboard) As soon as a settlement is overdue as per your agreement
2 Its grievance or nodal officer, using the published escalation matrix If no fix in a reasonable time
3 RBI Ombudsman at cms.rbi.org.in, helpline 14448 If unresolved after 30 days or rejected; the scheme covers regulated banks and payment system participants

Keep all communication in writing. Never share OTPs, UPI PINs or your merchant dashboard password with anyone claiming to be "settlement support", and use only the support number shown in the provider's official app or website.

What not to do

  • Do not treat the evening bank balance as the day's sales. Settlement lags are normal.
  • Do not net off fees in your books. Record gross sales and the fee as an expense, so your GST and income figures stay right.
  • Do not ignore small recurring gaps. A wrong fee rate repeated daily adds up fast.
  • Do not accept a customer's payment screenshot as proof. Confirm the credit in your bank or merchant app.
  • Do not mix personal and shop collections on one QR. It makes matching much harder; see separating personal and business finances.

Key takeaways

  • Bank credits differ from daily sales mainly because of settlement timing, fees with GST, refunds and chargebacks.
  • Under RBI's 2025 aggregator directions, settlement timing is whatever your agreement states, and it must be stated clearly.
  • As of October 2026, UPI payments up to ₹2,000 carry no merchant fee; NPCI's planned 0.4% fee above ₹2,000 is deferred until after Diwali.
  • Reconcile channel by channel: sales report, settlement report, bank statement.
  • Escalate unexplained gaps to the provider, then its grievance officer, then the RBI Ombudsman after 30 days.

Frequently asked questions

Why is my bank credit lower than my day's UPI and card sales?

Usually because some money has not settled yet (card and aggregator payments are paid out later), fees and GST were deducted before payout, or refunds and chargebacks were adjusted. Match each payment channel separately before assuming money is missing.

How fast should a payment aggregator settle my money?

Under RBI's Payment Aggregator Directions, 2025, the settlement timeline is whatever your agreement with the aggregator says, and the agreement must state it clearly. Read your merchant agreement or dashboard; many aggregators settle on the next working day or two, and some offer faster payout for a fee.

Is there a charge on UPI payments received by merchants?

As of October 2026, UPI payments up to ₹2,000 remain free for merchants by law. NPCI announced a 0.4% fee, capped at ₹300, on certain merchant UPI payments above ₹2,000, but deferred it until after Diwali without a new date. Check your provider's notice before assuming any fee applies.

Do UPI payments to my bank's QR settle instantly?

If the QR is linked directly to your bank account, the money is normally credited to that account in real time, including on holidays. If the QR or soundbox belongs to a payment aggregator or app, the money first goes to its escrow account and is paid to you as per your agreement.

Whom do I contact if a settlement is missing?

Raise it with the bank or aggregator that issued your QR, POS machine or gateway, quoting the transaction date, amount and reference number. If it is not resolved within 30 days, you can escalate to its grievance officer and then the RBI Ombudsman at cms.rbi.org.in.
