An EPF claim is usually rejected for a fixable paperwork reason, not because you have lost the money. Open Track Claim Status on the EPFO member portal, read the rejection remark, fix that one issue (KYC, bank account, date of exit, name or date-of-birth mismatch, or the wrong claim type), wait until the correction shows on the portal, and then file a fresh claim. If it is rejected again for a reason you have already fixed, raise a grievance on EPFiGMS.

This guide covers the common rejection remarks, what each one means, and how to fix it, with rules as of October 2026. If you are deciding whether to withdraw at all after a job change, read EPF when changing jobs first.

First, find the exact reason

Do not guess. EPFO writes a remark on every rejected claim.

  1. Log in at the EPFO member portal (unifiedportal-mem.epfindia.gov.in) with your UAN and password.
  2. Go to Online Services > Track Claim Status. The UMANG app shows the same under EPFO services.
  3. Note the claim ID, the date, and the full rejection remark. Take a screenshot.
  4. Check the SMS EPFO sent to your registered mobile; it usually summarises the reason.

Some remarks list two or three problems together. Fix all of them before you reapply.

What changed in 2025-2026

A few rule changes explain why older advice online can mislead you:

  • No cheque leaf upload (from April 2025). EPFO dropped the requirement to upload a cancelled cheque or attested passbook for online claims, and employers no longer have to approve bank account seeding. The bank account is verified against your EPF details when you seed it.
  • Self-correction of profile (from January 2025). If your UAN was issued after 1 October 2017 and is Aadhaar-validated, you can correct name, date of birth, gender and similar fields online without employer verification or documents. Older UANs may still need the employer's certification.
  • Auto-settlement up to ₹5 lakh (from June 2025). Advance claims for illness, education, marriage and housing up to ₹5 lakh can be settled by the system without manual checks, usually within about three days.
  • EPF Scheme, 2026 (in force from mid-2026). The new scheme under the Code on Social Security, 2020 replaced the 1952 scheme. As reported, partial withdrawals now fall under three broad heads (essential needs, housing and special circumstances), 25% of the balance must stay in the account, and full final settlement after job loss needs 12 months of unemployment instead of two, with up to 75% available earlier. Check the conditions shown on the claim form, because the eligibility shown there is what EPFO applies.

Common rejection reasons and the fix

Rejection remark (typical wording) What it means How to fix it
Bank details/IFSC mismatch, account not verified Seeded account is wrong, closed, joint with someone other than spouse, or IFSC changed after a bank merger Seed the correct, active account in your own name under Manage > KYC; wait for "verified"
Name/date of birth mismatch EPF record differs from Aadhaar, PAN or bank Correct it through the joint declaration or online profile correction, then reapply
Date of exit not available Previous employer has not marked your exit Ask the employer to update it; members can also mark exit themselves two months after the last contribution
Not eligible for this claim type Service, purpose or unemployment period does not meet the rule Choose the right claim (partial advance vs final settlement) for your situation
Document illegible or invalid Upload is blurred, wrong or incomplete Re-upload a clear scan, only of what the form asks for
Form 121 not valid / PAN not verified Declaration for no TDS not accepted, or PAN not linked Seed PAN in KYC; submit Form 121 (earlier Form 15G/15H) only if eligible
Claim already settled / duplicate Earlier claim for the same purpose went through Check passbook; file only for balance or a new purpose
UAN not linked with Aadhaar Aadhaar seeding missing or not validated Link and validate Aadhaar in KYC first

Bank account problems

This is the single most frequent cause. Check that:

  • the account is active, not dormant, frozen or closed;
  • it is in your name, either alone or jointly with your spouse only;
  • the IFSC is current (merged banks changed many IFSCs);
  • the name in the bank matches your EPF record closely enough.

If the claim was approved but the bank returned the money, EPFO shows it as returned, not rejected. Seed a working account and ask EPFO to re-credit through a grievance.

Name and date-of-birth mismatch

Small differences, such as an initial in one record and the full name in another, can fail matching. Use the online correction if your UAN is Aadhaar-validated and was issued after 1 October 2017. For older UANs, the employer usually certifies the joint declaration. Keep Aadhaar as the reference and make the EPF record match it, since claims are checked against Aadhaar.

Date of exit missing

Final settlement and transfer need a date of exit. If your old employer will not update it, you can mark the date of exit yourself on the portal once two months have passed after the last contribution, using an Aadhaar OTP. Do not mark a date earlier than your actual last working day.

Wrong claim type

Under the 2026 scheme, the conditions differ for each type:

  • Partial withdrawal (advance): for illness, education, marriage, housing or special circumstances, while in service or between jobs, subject to the minimum balance and service conditions.
  • Final settlement: on retirement, permanent disability, emigration, or after the required period of unemployment.
  • Pension (Form 10C): withdrawal benefit or scheme certificate for EPS, with its own waiting period after leaving.

Filing a final settlement while still employed, or before the unemployment period is over, gets rejected.

Step-by-step: fixing and reapplying

  1. Read the remark and list every issue it names.
  2. Fix KYC first: Aadhaar, PAN and bank under Manage > KYC. Wait until each shows as verified or approved.
  3. Fix profile details through joint declaration or online correction, and wait for approval.
  4. Confirm date of exit for the right employer under Manage > Mark Exit or by checking the service history.
  5. Download your passbook to confirm balance and the last contribution.
  6. File a fresh claim under Online Services > Claim. Choose the purpose carefully and upload only what is asked.
  7. Track it after a few days. Save the new claim ID.

There is no fee or penalty for reapplying.

Worked example: why fixing the cause matters (illustrative)

Ravi, 31, left his job in March 2026 after four years of service. His EPF balance is ₹6,40,000. He filed for a final settlement in May 2026. It was rejected with "Date of exit not available; bank IFSC invalid".

He reapplied the next day without changing anything. It was rejected again. Then he:

  • updated the IFSC of his account (his bank had merged) and waited for "verified";
  • got his previous employer to mark the date of exit.

By then the EPF Scheme, 2026 had come into force. Having been unemployed for under 12 months, he was no longer eligible for full final settlement, so he applied for the part that is available on unemployment instead.

  • Maximum he could draw now, keeping 25% in the account: 75% × ₹6,40,000 = ₹4,80,000.
  • Remaining in EPF: ₹6,40,000 − ₹4,80,000 = ₹1,60,000, still earning EPF interest, claimable once the 12-month period is over.

Because his service was under five years, a withdrawal of his accumulated balance can be taxable, and EPFO deducts TDS where the rules require it, so his PAN must be seeded and operative. He could have kept the whole amount growing by joining a new employer and transferring instead; see EPF vs PPF vs NPS for how EPF compares with other retirement options.

Tax and TDS points that trigger rejections

  • TDS on early withdrawal is now under Section 392(7) of the Income-tax Act, 2025 (old Section 192A) for tax year 2026-27.
  • Form 121 replaced Forms 15G and 15H from tax year 2026-27. EPFO rejects an old Form 15G/15H or one filed by someone whose income is taxable.
  • TDS above ₹50,000. For withdrawals before five years of continuous service, TDS generally applies when the amount is above ₹50,000: 10% with a valid PAN, and more if PAN is missing or inoperative.
  • PAN must be seeded and operative. If your PAN has become inoperative because it is not linked to Aadhaar, link it and pay the late fee on the income-tax portal before you reapply.

Where to complain

Level Channel What to include
1 EPFiGMS grievance at epfigms.gov.in UAN, claim ID, rejection remark, what you corrected
2 EPFO helpline 1800-118-005 and your regional PF office Grievance number and screenshots
3 CPGRAMS at pgportal.gov.in Earlier EPFiGMS number and reply

Sample grievance text:

Subject: Claim rejected despite correction - UAN [number] - Claim ID [number]

My [final settlement / partial withdrawal / Form 10C] claim [ID] dated
[date] was rejected with the remark "[remark]". I have since
[updated IFSC / corrected name / had date of exit marked], and the
portal shows it as verified on [date]. My fresh claim [ID] dated
[date] has been rejected again with the same remark.

Please review the claim and settle it, or tell me what further
correction is required.

What not to do

  • Do not reapply without fixing the cause. Repeated rejections only add delay.
  • Do not pay "PF agents" or anyone promising faster settlement; EPFO services are free.
  • Do not share your UAN password or Aadhaar OTP with callers or websites claiming to be EPFO.
  • Do not seed someone else's bank account, even a parent's.
  • Do not withdraw your whole EPF just because you changed jobs; transfer keeps it growing tax-efficiently. If you are short of cash, check how big an emergency fund should be.

Key takeaways

  • The rejection remark on the EPFO portal tells you exactly what to fix; read it before doing anything else.
  • Bank account, KYC mismatch and missing date of exit cause most rejections.
  • Cheque upload and employer approval for bank seeding are no longer needed for online claims.
  • Under the EPF Scheme, 2026, choose the right claim type: full settlement after job loss needs 12 months of unemployment, partial withdrawal leaves 25% in the account.
  • Reapply only after the fix shows as verified, and use EPFiGMS if it is rejected again for a cause you already fixed.

Frequently asked questions

Why was my EPF claim rejected?

The most common reasons are KYC or bank details that do not match your EPFO record, a missing date of exit, a name or date-of-birth mismatch between Aadhaar and the EPF record, choosing a claim type you are not yet eligible for, or an unreadable or invalid document. The exact reason is written in the rejection remark on the EPFO member portal.

Where can I see the EPF claim rejection reason?

Log in to the EPFO member portal with your UAN and open Track Claim Status under Online Services, or check the UMANG app. The rejection remark states why the claim was rejected. You also get an SMS on your registered mobile.

Can I apply again after an EPF claim is rejected?

Yes. There is no penalty or waiting period for reapplying after a rejection. Fix the cause shown in the remark first, confirm the correction appears on the portal, and then file a fresh claim. Reapplying without fixing the cause usually leads to another rejection.

How long does EPFO take to settle a claim?

EPFO says a correctly filed claim with the required documents is paid within 20 days. Advance claims up to ₹5 lakh that qualify for auto-settlement are usually processed within about three days, as of October 2026.

Do I need to upload a cancelled cheque for an online EPF claim?

No. Since April 2025 EPFO no longer requires a cheque leaf or attested passbook upload for online claims, because the bank account is verified when it is seeded with your UAN. Make sure the seeded account is active and in your own name.

Where do I complain if my EPF claim keeps getting rejected?

File a grievance on EPFiGMS at epfigms.gov.in with your UAN and claim ID, or call the EPFO toll-free helpline 1800-118-005. If that does not resolve it, you can escalate on the government's CPGRAMS portal.
