Bank Branch Request Acknowledgement: How to Keep Proof
Submitting a form or letter at your bank branch? How to get a dated acknowledgement, which RBI rules require one, and how to use the trail if the bank delays.

In this article (8 sections)
You hand a form across the counter, the staff member says "it will be done", and three weeks later nothing has happened and nobody remembers receiving it. The fix is simple: for every request you submit at a branch, keep a dated, stamped and signed acknowledgement or a system reference number, plus a copy of what you submitted. That trail turns "we never got it" into a timeline that the bank, its grievance officer, and if needed the RBI Ombudsman, can act on.
This guide explains where RBI rules already require an acknowledgement, how to ask for one politely, and how to use it if the bank delays. It is general information as of October 2026.
Where an acknowledgement is required by rules
| Request | What the rules say |
|---|---|
| KYC update or self-declaration | RBI's KYC FAQs say once a customer submits updated KYC information or a self-declaration, the bank shall provide an acknowledgement |
| Nomination, cancellation or change of nominee | The Banking Companies (Nomination) Rules, 2025, in force from 1 November 2025, require the bank to acknowledge in writing or electronically the filing, cancellation or variation of a nomination |
| Cheque deposit | RBI requires banks to offer both drop boxes and counter acknowledgement for cheques, and to display that customers can get the pay-in slip acknowledged at the counter |
| Complaint | Bank grievance policies give a complaint number or acknowledgement; the RBI Ombudsman route needs proof that you first complained to the bank |
For other requests, such as an address change, account closure, cheque book or debit card request, stop payment, standing instruction, FD premature closure or loan closure documents, there may be no specific RBI line on acknowledgements, but most banks give a stamped copy or a service request number when asked. It is a reasonable request.
What a good acknowledgement looks like
- Date (and time for urgent items such as stop payment)
- Branch round stamp or seal
- Staff signature with name or employee number
- Short description: "Received KYC update form with PAN and Aadhaar copy for A/c ending 1234"
- Service request or reference number, if the system generates one
- Expected completion time, if the staff can tell you
If a form has a tear-off acknowledgement slip at the bottom, as many bank nomination and deposit forms do, ask the staff to fill and stamp it before you leave.
Step by step: building the trail
- Prepare two copies of every letter or form: one to submit, one to be stamped. For printed bank forms, photocopy or photograph the filled form before submitting.
- Attach a list of enclosures at the bottom of your letter ("Enclosures: 1. PAN copy, 2. Aadhaar copy, 3. Old passbook").
- Ask for the stamp politely at the counter. "Could you please stamp and sign my copy?" works far better than an argument.
- Ask for a reference number if the request is entered in the system. Photograph the screen slip or note it on your copy.
- Prefer trackable channels where they exist. Requests raised in the bank's official app or net banking automatically get a reference number and timestamp.
- If refused, send it in writing anyway: registered post or speed post to the branch address, or email to the branch's official address published on the bank's website. Keep the postal receipt or the sent email.
- Store everything in one place: a folder per bank, with files named by date and request.
- Note the follow-up date in your phone calendar.
Worked example: turning the trail into deadlines
You submit a request to close an old account and transfer the balance on 3 November 2026, and get a stamped acknowledgement. The branch says it will be done in about a week. Nothing happens, so on 13 November you file a written complaint with the bank's grievance officer.
| Event | Date | Why it matters |
|---|---|---|
| Closure request submitted, acknowledgement received | 3 November 2026 | Proves the request date |
| Written complaint to grievance officer, complaint number received | 13 November 2026 | Starts the bank's 30-day window |
| 30 days end with no reply | 13 December 2026 | You can now approach the RBI Ombudsman |
| Last date to file with the Ombudsman (90 days, as per the 2026 Scheme's published summaries; confirm on cms.rbi.org.in) | 13 March 2027 | Counting: 18 days left in December + 31 in January + 28 in February + 13 in March = 90 |
Without the acknowledgements, each of these dates is your word against the bank's.

Requests where the trail matters most
- KYC updates: if your account is later frozen for "KYC pending", the acknowledgement proves you submitted on time. See bank KYC update.
- Mobile number change: fraud alerts depend on it. See change mobile number in bank.
- Account closure: minimum balance charges can keep building on an account the bank failed to close. See bank account closure problems.
- Stop payment of a cheque: time and date matter if the cheque is presented the same day.
- Nomination: your family will need to show that a nominee was registered.
- FD premature closure or renewal instructions: the date of your instruction decides which interest rate and penalty apply, so the acknowledgement settles any later dispute.
- Loan closure documents: if original property papers or an NOC are delayed, the date you asked for them is your starting point for any claim.

What not to do
- Do not hand over original documents unless the bank needs to see them; show the originals for verification and submit self-attested copies.
- Do not sign blank forms or let staff "fill it later".
- Do not share OTPs, PINs or passwords to "complete" a branch request; staff do not need them. Ignore callers claiming to follow up on your request who ask for these.
- Do not use numbers from search ads or social media for bank customer care; use the number on your passbook, card or the bank's official website.
- Do not throw away acknowledgements once the request is done; keep important ones for years.
Key takeaways
- Keep a dated, stamped, signed acknowledgement or a reference number for every branch request.
- RBI and the Nomination Rules, 2025 require acknowledgements for KYC submissions, nominations and, on request, cheque deposits at the counter.
- If a branch refuses, send the request by registered post or official email, or raise it in the bank's app.
- The trail fixes the dates for the bank's 30-day complaint window and the RBI Ombudsman route at cms.rbi.org.in.
- Never share OTP or PIN for any branch request.
Frequently asked questions
Is a bank required to give an acknowledgement for my request?
For several requests, yes. RBI's KYC FAQs say a bank should acknowledge updated KYC information or a self-declaration, the Banking Companies (Nomination) Rules, 2025 require written or electronic acknowledgement of nominations and changes, and RBI requires banks to give counter acknowledgement for cheques if you ask. For other requests, asking for a dated, stamped copy is reasonable practice.
What should a bank acknowledgement contain?
The date, the branch stamp or seal, the name or employee number and signature of the staff member, a short description of what was received, and a request or reference number if the bank's system generates one.
What can I do if the branch refuses to acknowledge my letter?
Politely ask for the branch manager. If it is still refused, send the same request by registered post or email to the branch's official address and keep the postal receipt or sent email, or raise it through the bank's official app or website to get a reference number.
How long should I keep bank acknowledgements?
Keep them at least until the request is completed and checked, and longer for important items such as account closure, nomination, KYC updates, loan closure and complaints. A scanned copy in a dated folder is the easiest way.
Do I need an acknowledgement to complain to the RBI Ombudsman?
You must first complain to the bank in writing and wait 30 days or receive an unsatisfactory reply. A dated acknowledgement or complaint number is the simplest proof that you did so and of when the 30 days started.
